Greetings…

Here is an general outline of the sequence of events that will occur on the MMS Coaching Program.

Start-up.

___1. Agreement. Read the Consulting Agreement, check it that you agree.

___2. Payment. Pay for the program on line. Goes to automatic billing.

___3. Welcome. Welcome page with “Member’s Only” information.

___4. “Member’s Only” Email. A special email will be sent with “Member’s Only” information.

___5. Registration Forms and Client Set-up. To get started, please download, complete, and fax back the following:
          a. The MMS Support and Coaching Registration Form and the

          b. Practice Scorecard –History.  (Note: our client’s information has always been held in the strictest confidence.)

___6. Marketing Directory. Make a separate directory on your computer under “My Documents” called: “Marketing Data”, or “My Own Marketing Data”, or another title.

___7. Download Manual. Download the MMS Marketing and Installation Manual if you do not have a Marketing Manager System C.D. (Found in the Member’s Section) You can “save as” in the marketing directory that you just made.

___8. Download Manager’s Mini-Toolkit. You may also want to download the Marketing Manager Mini-Toolkit. (Found in the Member’s Section.)

First Month

___9. Schedule Phone Conference. Once we receive your practice information, we will email you with several times from which you can select for your initial MMS orientation consultation of about 20 minutes (up to 40 minutes.) Schedule your initial phone consultation by replying to our email.

___10. Marketing Foundation. Review and begin doing the steps covred in one of the following:

        a. “Startup Time Period Checklist” in your Marketing Manager System(sm) CD, or the

        b. “12 Month and Startup Marketing Plan Checklist” in the Marketing Manager System(sm) Marketing Plan and Installation Manual. This manual can be downloaded from your “Member’s Site.”

Initial Phone Consultation

___11. Phone Conference. On your scheduled time, call (414) 332-4511 (Central Time, Milwaukee, WI). You may want to talk privately, or with your marketing coordinator. Be prepared to take notes. At your first phone consultation, we will review your history and immediate marketing situation. We will decide on a few marketing projects to do over the next month that will give you the quickest and best result. In addition, we will be reviewing the MMS Start-Up Checklist steps. This will set up the foundation for your long-term improvements.

___12. Work on Marketing Projects. Over the next 2-3 weeks. Work on MMS action steps from consultation and from the CD or Manual.

___13. Email Support. Email any questions or concerns for quick response.

___14. Schedule Next Phone Conference. You will receive an email with times that you can select for your next phone consultation on second week of the month. Select the best time from one of these times and reply back.

___15. Accountability Reports. At the end of the first month, go to the Member’s site and complete:

        a. Monthly Scorecard: Automatic Report Form

        b. Monthly Marketing Plan: Automatic Report Form

New Month:

___16. Monthly Practice Marketing Evaluation. We will analyze your statistics and reports, and provide you with a computer printout of a statistical analysis, with charts and graphs. Also included will be specific observations and recommendations that I will make based upon your data. This will be mailed, or emailed as you wish, with a copy of a new motivational tent poster. This is your “scorecard” or “report card”, and that of your marketing staff.

___17. Phone Consultation. Around the second week of the new month, we will have our monthly phone consultation. During this time, we will review the prior month’s performance as well as current activities. We will also review all the action steps we set as targets last month to review their progress. We will make plans for the next few months with a few specific action steps that will be the most effective in increasing your new patients and volume.

___18. Time Period System. Part of the Marketing Manager System is the implementation of the “Time Period System.” This consists of specific duties that are always done every week, month, and quarter. These duties are specified on your MMS CD, and also in your MMS Marketing Plan and Implementation Manual.

        a. Schedule your weekly meetings. Complete the Weekly Checklist

        b. Schedule your next monthly meeting. Complete the Monthly Checklist.

        c. Quarterly Meeting. Complete the 3-month Checklist.

___19. Reminders. You will be receiving occasional reminders to have these meetings and complete these checklists.

___20. Email Support. Email in any questions for priority help.

___21. NP Log. If you do not keep a New Patient Log, use the one in the Marketing Manager’s Mini Toolkit.

___22. NP Tracker. If you do track your NPs, use the Practice Scorecard and NP Tracker also found in the Marketing Manager’s Mini-Toolkit


Repeat Numbers 14 – 21: The MMS Process  

By following the steps above, over and over, we will be practicing a form of Kaizen. This is a Japanese term loosely defined as "constant improvement."

Marketing projects should be delegated, supervised, and results monitored. External feedback and accountability, support and coaching helps keep this process of improvement occurring in spite of the usual demands of daily urgencies. Bit by bit, your office will grow.
